Maritime Air Co., Inc. ("Maritime Air Co.," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you visit MaritimeAirCo.com, text or call us, or request service from us.

We are a Florida corporation and a Class-A Certified Air Conditioning Contractor (License # CAC1824400) serving residential, commercial, and marine customers on Florida's Treasure Coast.

1. Information We Collect

Information you give us

When you submit a form, chat with us, text us, call us, or request service, we may collect:

  • Name, phone number, email address, and service address
  • Preferred contact method and best time to reach you
  • Property type (residential, commercial, marine) and, for vessels, vessel details and marina or slip location
  • Details about your HVAC system — brand, model, serial number, age, symptoms, and service history
  • Photos you upload through our Schedule Service, Instant Quote, or estimate tools
  • Notes, messages, and free-text descriptions you send us
  • Access instructions you choose to share, such as gate codes or lockbox codes
  • Membership enrollment and scheduling preferences
  • Partner Portal (Compass Connect) and Staff Portal (Tech Command Center) account details

Information we collect automatically

  • Basic site usage data via Google Analytics — pages viewed, device type, browser, referring source, and approximate location from IP address
  • Interactions with our tools, including the Comfort Navigator, Repair Cost Estimator, and Instant Quote flow
  • Chat widget interaction data

Information we receive from others

  • Lead and listing platforms — Google Business Profile, Yelp, Nextdoor, Angi, and similar services when you submit a request through them
  • Referral partners — realtors, home inspectors, property managers, and marinas
  • Equipment manufacturers and distributors, in connection with warranty registration and claims
  • Our financing partner, regarding application status

Payment and financing information

We do not store full payment card numbers. Card payments are processed by our payment processor, and we receive only limited details such as the last four digits and the authorization result.

Financing applications are submitted directly to our third-party lender and are governed by that lender's privacy policy, not this one.

Please do not send sensitive information — Social Security numbers, financial account numbers, or medical details — through our website forms, text messages, or email.

2. How We Use Your Information

  • To schedule, dispatch, perform, and follow up on HVAC service
  • To send appointment confirmations, technician arrival alerts, estimates, invoices, and service updates
  • To send follow-up and promotional messages where you have given the appropriate consent (see Section 4)
  • To register equipment warranties and submit warranty claims to manufacturers
  • To administer membership programs and schedule recurring maintenance
  • To process payments and manage accounts
  • To maintain service history so future technicians understand your system
  • To improve our website, tools, and customer experience
  • To train technicians and evaluate quality of work
  • To comply with legal obligations, including contractor licensing, permitting, and EPA refrigerant recordkeeping
  • To protect against fraud, property damage claims, and misuse of our services
  • To establish or defend legal claims, including construction lien rights under Chapter 713, Florida Statutes

We use trusted third-party services to run our website and operations:

These providers only access the information needed to perform their service for us, and are contractually restricted from using it for their own purposes.

If we add or change a provider in a way that materially affects your information, we will update this policy.

4. Text Messaging (SMS/MMS) Privacy

4.1 You must be 18 or older

You must be 18 years of age or older to use our SMS service. By opting in, you confirm that you are at least 18 and that you are the account holder or authorized user of the mobile number you provide.

4.2 Two programs, two separate consents

We run two distinct text message programs. Consent to one is not consent to the other.

Service and transactional messages — appointment confirmations and reminders, technician dispatch and arrival alerts, scheduling changes, estimate and quote delivery, invoices and receipts, maintenance-due notices, emergency service coordination, and direct replies from our team.

Promotional and marketing messages — seasonal offers, membership promotions, manufacturer rebates, financing offers, and referral incentives.

Promotional consent is collected through a separate, unchecked checkbox and is never a condition of purchasing any service from us.

4.3 How we obtain your consent

You consent to receive text messages when you check the SMS consent box on a form at MaritimeAirCo.com, text us first at (772) 236-4277, give verbal consent during a call that we document, or sign an agreement containing SMS consent language.

We keep records of your consent, including the date, time, method, IP address where applicable, and the exact disclosure language shown to you.

4.4 Our commitment regarding your mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We do not sell, rent, lease, trade, or transfer mobile phone numbers or SMS consent records to third parties, data brokers, lead aggregators, affiliates, or marketing partners.

The only parties who receive your mobile number for text messaging are Twilio, acting solely as our messaging service provider, and wireless carriers, solely to deliver the message to your device.

4.5 Frequency, rates, and how to stop

  • Message frequency varies. Transactional: up to 10 messages per service visit. Promotional: up to 4 messages per month.
  • Message and data rates may apply. Rates are set by your wireless carrier and are your responsibility.
  • Reply STOP to any message to opt out. You will receive one confirmation message and nothing further in that program.
  • Reply HELP for assistance, or call (772) 236-4277, or email maritimeairco@gmail.com.
  • Carriers are not liable for delayed or undelivered messages.
  • Opting out of promotional messages does not automatically stop transactional messages about an appointment you have scheduled, and vice versa. Tell us if you want to stop both.
  • Supported carriers include AT&T, T-Mobile, Verizon Wireless, Sprint, Boost, U.S. Cellular, MetroPCS, and others. Carrier support may change without notice.

4.6 If you change your number

If you change or give up your mobile number, please tell us so we do not text the new subscriber.

5. Cookies, Analytics, and Tracking

We use cookies and similar technologies for three purposes:

You can control cookies through your browser settings. Blocking them may break forms and scheduling tools.

Opt-out resources:

Do Not Track. There is no industry standard for responding to browser "Do Not Track" signals, and we do not currently respond to them.

6. Information Sharing

We do not sell, rent, or trade your personal information. We do not share it for cross-context behavioral advertising in exchange for money.

We share information only in these circumstances:

  • With the service providers listed in Section 3, limited to what they need to perform their service
  • With equipment manufacturers and distributors — to register warranties, order parts, submit warranty claims, and pass along recall notices
  • With our financing partner — only the information you submit on an application
  • With permitting authorities — local building departments and inspectors, as required for permits and inspections
  • With subcontractors — licensed electricians, crane operators, duct fabricators, or marine services engaged for part of your job, limited to what they need
  • With property owners, managers, or associations — where you are a tenant or agent, or where an HOA or marina requires documentation
  • At your direction — for example, sending a pre-inspection report to your realtor or attorney
  • When required by law — subpoena, court order, or legal process
  • To protect our rights — enforcing our Terms, perfecting a construction lien under Chapter 713 Florida Statutes, collecting an unpaid balance, or investigating fraud or property damage
  • In a business transfer — merger, acquisition, or sale of assets, where we will require the successor to honor this policy or give you notice

We may also create and use aggregated or de-identified data that cannot reasonably identify you. We will not attempt to re-identify it.

7. Photos, Reviews, and Marketing Content

Our technicians photograph equipment, coils, electrical components, ductwork, and completed work as standard practice. These images document system condition, support estimates and invoices, back up warranty claims, and provide evidence if a dispute arises.

Marketing use. We may use job-site photographs on our website gallery, social media, and marketing materials only where the images do not identify you, your street address, your vessel name, or the interior of your home in an identifying way — or where you have given us separate permission.

You may opt out of any marketing use of photos from your property or vessel at any time by telling us in writing. Private Client HVAC customers are excluded from marketing use by default.

Reviews. If you post a review on Google, Yelp, Facebook, or Nextdoor, that content is public and governed by that platform's policies. We may republish reviews, ratings, first names, and last initials on our website.

8. Data Retention

We keep information only as long as needed for the purposes above, or as required by law.

After the retention period we delete, destroy, or de-identify the information. Backups purge on a rolling schedule.

9. Data Security

We use industry-standard safeguards including encrypted connections (HTTPS), secure database storage through Supabase, restricted access to customer data, unique credentials for portal accounts, and background-checked technicians bound by confidentiality obligations.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you and applicable authorities as required by Fla. Stat. § 501.171.

10. Your Choices and Rights

You may, at any time:

  • Access — request a copy of the information we hold about you
  • Correct — ask us to fix anything inaccurate
  • Delete — ask us to delete information, subject to the retention requirements in Section 8
  • Unsubscribe from email — click the link in any email we send
  • Stop texts — reply STOP
  • Stop marketing calls — tell us, or register at donotcall.gov and Florida's list at fdacs.gov
  • Opt out of photo use — tell us in writing

We will not treat you differently for exercising any of these rights.

What we cannot delete. We generally cannot delete records we are required to keep for warranty administration, licensing, tax, EPA compliance, insurance, or defense of legal claims. We also cannot stop transactional messages about an appointment you have actively scheduled unless you cancel it.

State privacy rights

Florida. The Florida Digital Bill of Rights (Fla. Stat. § 501.701) applies to companies with over $1 billion in revenue. We do not meet that threshold, but we voluntarily honor the requests above for Florida residents. Florida residents are also protected by the Florida Telephone Solicitation Act (Fla. Stat. § 501.059); we maintain an internal do-not-call and do-not-text list.

California. We do not sell or share personal information as defined under the CCPA, and have not in the preceding 12 months. California residents may exercise access, deletion, and correction rights below.

Other states. Residents of Colorado, Connecticut, Virginia, Texas, Oregon, and other states with comprehensive privacy laws may have similar rights. We honor verified requests regardless of whether those laws technically apply to us.

How to make a request

Email maritimeairco@gmail.com or call (772) 236-4277 with "Privacy Request" in the subject line. Include your name, the phone number and service address on your account, and what you're asking for.

Verification. We will verify your identity before acting, usually by matching the phone number, email, and service address in our records.
Timing. We respond within 45 days, and may extend once by 45 days with notice.
Appeals. If we deny your request, reply with "Appeal" in the subject line. If the appeal is denied, you may contact the Florida Attorney General at myfloridalegal.com.

11. Children's Privacy

Our services are directed to adults. We do not knowingly collect information from children under 13, and our SMS service requires users to be 18 or older.

If you believe a child under 13 has given us personal information, call (772) 236-4277 and we will delete it promptly.

12. Additional Notices

Third-party links. Our site links to manufacturers, our financing partner, and review platforms. We do not control those sites and are not responsible for their privacy practices.

Brand references. Trane, Carrier, Rheem, Goodman, Lennox, Mitsubishi Electric, Cruisair, Dometic, Webasto, Mabru, and other names are used to identify equipment we service. Trademarks belong to their owners.

Where we operate. We operate and process information in the United States.

Employment applicants. If you apply for a job, we collect your resume, work history, certifications, and references. Background checks and drug screening are performed by third-party vendors with your authorization under the Fair Credit Reporting Act.

Accessibility. If you need this policy in another format, call (772) 236-4277 and we will accommodate you.

Changes to this policy. We may update this policy. The "Last updated" date above reflects the most recent revision, and we will post prominent notice of material changes. We will not materially change how we use previously collected information without your consent.
